King's-Edgehill School (KES) is committed to protecting the privacy of our constituents. Retaining your trust is important to KES, and we understand that we must be responsible, transparent and accountable in how we treat any personal information that you share with us. This Privacy Policy does not govern personal information about our employees, which is addressed by other internal KES policies.
What Constitutes Personal Information
Personal information is any information about an identifiable individual, but does not include business contact information which is used solely for communicating with an individual in respect of their employment, business or profession.
How KES may Collect Personal Information
King's-Edgehill School may collect personal information, such as the following:
- Date of Birth;
- Address (postal and email) and telephone number;
- Academic history, where required for students;
- Financial, credit and banking information, in respect of tuition and fees payment;
- Health card and related health information, for the provision of health services;
- Information about particular student preferences and needs, to accommodate student requirements;
- Other information you may provide to us; and
- Information as required or permitted by law.
The information above is generally collected from you, but we may also obtain such information from parents of students or from students on behalf of families, and from financial institutions and credit agencies for the purpose of processing payments for our services and for assessing credit as we believe necessary.
How is your Personal Information Used by KES?
King's-Edgehill School may use personal information of our students and other constituents for the following purposes:
- To assess applicants and to process student applications;
- To provide our services, whether educational or otherwise to our students and as applicable to their family members;
- To process tuition and other payments as required for student enrollment;
- To inform our constituents of events, activities and volunteer opportunities in which they may wish to participate;
- To maintain records of academic standing and status;
- To inform our constituents through the provision of publications, updates and information about events and developments at King's-Edgehill School;
- To solicit financial support for King's-Edgehill School;
- To communicate with you as may be required on an individual basis; and
- As otherwise required or permitted by law.
How Your Personal Information may be Shared by KES?
King's-Edgehill School does not rent, sell, trade or provide personal information to third parties except in accordance with this Policy. King's-Edgehill School may share some or all of your personal information as required or permitted by law, and as follows:
- To provide our services, whether educational or otherwise to our students and as applicable to their family members;
- To volunteers and staff members with KES, to assist them with their responsibilities, and KES shall require such volunteers and staff to deal with your personal information in accordance with this Policy.
- For any financial transactions such as tuition payment, we may provide your personal information to credit bureaus and financial institutions for the purpose of assessing and processing your payments to us.
- To our services providers in Canada and the United States of America that work with us to provide our services and information to you. Any such service providers will only be provided with access to your personal information as needed to perform their functions, and we shall not authorize them to use your personal information for any other purposes. Where we use service providers outside of Canada, it is always possible that despite our safeguards, your personal information may be accessible by law enforcement and national security authorities of such jurisdictions.

The security of your personal information is important to us, and we use various technical, contractual, administrative and physical security measures to protect personal information that you provide to us. We instruct our personnel, volunteers and service providers to comply with privacy law and with this Privacy Policy. We strive to regularly improve the security of personal information that you may provide to us through our website or via other means, but please note there is no method of transmitting or storing data that is 100% secure.
Retention of Your Personal Information
We may retain your personal information as long as we have a relationship with you. If your enrollment or involvement with King's-Edgehill School ends, we may thereafter use and disclose your personal information as required and permitted by law to conclude any outstanding matters relating to your relationship with us, to maintain academic records as reasonably required, and to satisfy any potential legal obligations that KES may have.
Website Visitor Information
The King's-Edgehill School public website does not collect personal information without your consent except as provided by you. When you visit the KES public website, the server automatically collects a limited amount of information via the use of "cookies." (Cookies are temporary Internet files that are downloaded to your computer or mobile device when you visit a website.) Information collected includes your IP address, the name of your Internet service provider, information concerning your browser and operating system, pages visited, length of time at web pages, and geographical information. Website visitor information is collected in aggregate form and is not identifiable to individual visitors. This information is used in connection with the operation and security of the site and to perform statistical analysis of user trends and interests which supports our marketing efforts and helps KES make the site more useful to visitors.
Website Analytics
Our website uses Google Analytics, a service which transmits website traffic data to Google servers in the United States. Google Analytics does not identify individual users or associate your IP address with any other data held by Google. We use reports provided by Google Analytics to help us understand website traffic and webpage usage.
